§ A General

  1. If you provide us with personal data by post, email, contact form, or any other means, your information will be stored for the purpose of processing your inquiry and in case of follow-up questions. We will not disclose this personal data without your consent. Once the purpose of the data processing has been fulfilled, we will delete or destroy this data.
  2. You have the right to request information, correction, deletion, restriction of processing, objection based on a particular situation of the data subject, and data portability at any time. Data portability refers to the transfer of your personal data stored with us to you or to a third-party provider of your choice. As part of your request, we are obligated to unequivocally identify you. Therefore, if necessary, you will need to provide us with identifying data.
  3. You can withdraw your consent to the processing of your personal data at any time.
  4. Furthermore, you have the right to lodge a complaint with the competent supervisory authority at any time.
  5. Your personal data is processed in accordance with the principle of purpose limitation. This means that your data will be stored by us only for as long as it is necessary to fulfill the purpose of the processing. Once this purpose has been fulfilled, the data will be deleted.

§ B Registration and Login Data

To use the CFM app, creating a user account is necessary to protect the published content from unauthorized access. During this process, the user is asked to provide their name and employee number. Once the employee number has been approved by CFM, the registration can continue by setting a password as well as a security question and answer. As a rule, we only store encrypted user data during this process. After successful registration, the user can log in to the CFM app.

§ C Stored Data

§ C 1 Statistics

We store anonymized data of our users in the form of “clicks” to analyze app usage. By “clicks,” we mean access to content published in the CFM app.

On behalf of Charité CFM Facility Management GmbH, hereinafter referred to as CFM, we store voluntarily submitted personal data when our users register for an event and/or a contest. The registrations are processed by authorized CFM personnel. This is necessary for event planning and winner notification. The data is requested during registration, stored in plain text on our server, and deleted completely no later than two months after the end of the event.

The responsible entity for data processing at CFM is:
Charité CFM Facility Management GmbH

§ C 2 Generation of Crash Reports

Our Android applications use the program “Crashlytics” from Google’s Firebase. The provider is Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. Google complies with the applicable EU-U.S. Privacy Shield framework and has been certified by the Department of Commerce accordingly.

The Crashlytics program helps us create and analyze reports on app errors and crashes to fix the issues causing them. When generating a report, Crashlytics creates an Instance ID with a timestamp. This constitutes personal data that can provide insights into processes. However, we cannot identify individual persons with this Instance ID and process this data solely to maintain the functionality of our applications.

The privacy policy can be found on the following website: Privacy Policy for Firebase Crashlytics (English): http://try.crashlytics.com/terms/privacy-policy.pdf

§ C 3 Sending Push Notifications

Our Android applications use the “Cloud Messaging” program from Google’s Firebase. The provider is Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. Google complies with the applicable EU-U.S. Privacy Shield framework and has been certified by the Department of Commerce accordingly.
The privacy policy can be found at the following website: Privacy Policy for Firebase Cloud Messaging (English): https://firebase.google.com/support/privacy/

Our iOS applications use the “Apple Push Notification Service” from Apple. The provider is Apple Inc., One Apple Park Way, Cupertino, CA 95014. You must allow this service to send you notifications upon first launching our application.

Both programs use a “token” to send push notifications, which contains a unique instance ID and records whether we are allowed to send you push notifications. This instance ID is stored on your device, in our database, and in the database of the respective provider. After uninstalling our application or revoking permission to receive push notifications, this token is deleted from all databases as well as from your device.

§ D Additional Information

We expressly reserve the right to update and modify our privacy notices in consultation with CFM. It is the responsibility of our users to stay informed about these changes independently. The most current version of our privacy policy is available in our smartphone applications and in the iOS and Android app stores.
